Administrative Office


  1. Perform general management tasks which include document/archives, personnel, financial, inventory, administration, vehicle, and land and building tasks. Collaborate in technology transfer, and patent and benefits related to Thai-NIH are also included.

  2. Plan and operate according to the quality system in order to be internationally accepted.

  3. Cooperate with or support the work of other relevant sections or as assigned.



The responsibilities are

    1. Administration
Administration accommodate meeting arrangement in the institute by
  • Ensure that meeting rooms and audiovisual aids are ready for use; providing meals, drinks and
    other necessities.

  • Go after domestic and international telephone call/facsimile reports.

  • Act as a telephone operator unit for calls to Department of Medical Sciences.

  • Control and evaluate cleaning of the institute.

  • Control and arrange for pest eradication in the institute.

  • Provide guidance to clients and staff of the institute.  

 


 2. Document/Archives

Responsible for letters and documents addressed to the institute by
  • Receive, check, categorize, record, prioritize, comment, propose to the director, reply, draft, type,
    proofread, issue the sending number, send, circulate, search, lend, keep, and destroy the documents.

  • Provide photocopy and document formatting service.

  • Provide guidance to and coordinate with relevant persons and sections.

   

3. Personnel

Responsible for personnel of the institute by

  • Coordinate and issue documents about seeking, employing, probation period appraisal, promotion,
    transfer, personnel lending/borrowing, study leave, training, meeting, study visit both domestically
    and internationally.

  • Verify and monitor sick leave, personal leave, annual leave, maternity leave, military leave, ordain leave,
    overseas visit leave.

  • Coordinate and issue documents about promotion, request for decorations, record and monitor biography records, discipline execution, resignation, retirement.

  • Issue identification card, salary letter, name changing letter, certificate adding.

  • Provide guidance to and coordinate with relevant persons and sections.





4. Financial





   Responsible for financial tasks of the institute by
  • Monitor, control and ensure the budget as planned.

  • Prepare budget utilization report.

  • Receive laboratory testing fee, check paying document, child-learning welfare, medical fee, rental fee, overtime compensation, traveling fee.

  • Responsible for transferring, cash receiving and paying, urgent purchasing and hiring fee.

  • Provide guidance to and coordinate with relevant persons and sections.


 

5. Inventory



 Responsible for purchasing materials, durable articles, buildings by

  • Prepare for durable articles purchasing plan according to the budget year.

  • Follow and ensure durable articles purchasing as planned.

  • Coordinate for durable articles, land and buildings repair and maintenance. Evaluate the repair and maintenance.

  • Prepare and check the inventory accounting. Control the withdraws and restores.

  • Coordinate with laboratories and purchaser for supplier selection and evaluation.

 


6. Vehicle


  Responsible for providing vehicles for government used by
  • Provide car with driver appropriately and sufficiently.

  • Check, maintain and ensure the condition of vehicles.

  • Prepare vehicle using, petrol using and maintenance report.

  • Provide guidance to and coordinate with relevant persons and sections.
